Banquet and Catering Policies
Please carefully review the following guidelines.
- The Banquet & Catering office is normally open Monday through Friday 8:30 AM to 5:00 PM. Contact the Banquet & Catering Sales Manager to discuss your function, and any changes that need attention.
- A deposit is required and will be processed to hold any space on a definite basis.
- Payment of estimated charges, final counts and room set-up changes are required 4 business days prior to the scheduled event.
- Should the attendance fall below the final count, charges will be assessed on the final count given prior to the function.
- Refunds of deposits will be made in full with written cancellation 30 days prior to the scheduled function. Deposits are non-refundable within 30 days of the scheduled function. With booking of Ballroom (Belvedere ABC) cancellation policy is 60 days prior notice. (Holding a room with a credit card or direct billing option is considered the same as a deposit received.
- All function checks must be signed by the individual in charge.
- All functions are subject to 6.5% state sales tax and 21% service charge.
- The consumption or preparation of food, beverage or alcohol not purchased through the hotel is prohibited.
- The hotel reserves the right to move functions to meeting rooms other than those appearing on the contract without notification.
- For health reasons, food & beverage left over from a function may not be removed from the premises for personal consumption.
- The hotel shall not be held responsible for loss or damage to items left in the hotel prior to or following any function.
- Client assumes the responsibility for any and all damages caused by the Client or the Clients guests, invitees or other persons attending the function, whether in banquet rooms, sleeping rooms or any part of the Hotel. The hotel reserves the right to exclude or eject any and all persons from the function, or the Hotel premises without liability.
- Groups that are tax exempt must submit proper affidavits prior to billing policy.
- All functions will have a beginning and ending time. Meeting and Banquet rooms are rented on a time from of 4 to 8 hours or any portion of that time frame. All evening functions must conclude by 11:30 PM and all persons must vacate the designed function space at the closing hour indicated.
- Any changes to pre-arranged set-ups will be billed accordingly at a rate of $75.00 per hour, one hour minimum.
